1. Confirm the Guest Count
A working guest count drives table quantities, chair quantities and how much space the reception requires. Ask how the venue handles a last-minute change and when rental quantities become final.
2. Check What the Venue Actually Includes
“Tables included” does not always mean the right sizes or enough of them. Request an itemized venue inventory and compare it with your reception plan.
3. Think Beyond Dinner Tables
Cocktail hour, the ceremony, bars, catering stations, gifts and desserts each need their own space. A room that fits dinner guests may still feel crowded once service areas are added.
4. Have a Real Weather Plan
Fall weather can change quickly. Decide where the ceremony and reception move if rain, wind or lower temperatures arrive. Ask who makes the call and when.

Verify quantities, delivery charges, labor, taxes, damage terms and change deadlines. Compare complete quotes rather than only the headline rental price.
