Planning an Outdoor Company or Community Event: The Rental Checklist Most Organizers Forget

Before requesting a quote, use this checklist to avoid some of the most common planning mistakes.

1. Confirm Your Event Date and Location

Your rental company will need the exact date and setup address before confirming availability. The location also affects delivery access, setup time, surface conditions, tent placement, electrical access, and pickup requirements.

Let your rental provider know about gates, stairs, narrow driveways, loading restrictions, or long distances between the delivery vehicle and setup area. Those details help the crew arrive prepared.

2. Estimate Attendance Honestly

There is usually a difference between the number of people invited and the number of people expected to attend.

  • Employees and staff

  • Spouses or guests

  • Children

  • Vendors

  • Volunteers

  • Speakers or entertainers

It is often wise to include a small seating cushion, especially for community events where attendance may be difficult to predict.

3. Decide How the Event Will Function

A guest count alone does not determine the equipment you need. Ask yourself:

  • Will everyone sit at the same time?

  • Will food be plated, buffet-style, or casual?

  • Do you need registration tables?

  • Will vendors need tables?

  • Is there a stage, DJ, or entertainment area?

  • Will there be activities for children?

  • Do you need cocktail tables for networking?

The way guests use the event space matters just as much as the number of people attending.

4. Build a Real Weather Plan

A tent can help protect guests from sun and rain, but it may not solve every weather problem.

  • Covered walkways

  • Sidewalls

  • Wind exposure

  • Muddy ground

  • Food service areas

  • Entertainment equipment

  • Cooler evening temperatures

Discuss your ideal setup and your backup plan before event week. Waiting until the forecast changes can limit available options.

5. Confirm Power and Utility Access

Inflatables, lighting, food service equipment, DJs, and other vendors may all require electrical access.

  • How many outlets are available

  • Where outlets are located

  • Whether extension cords will cross walkways

  • Whether a generator is needed

  • Whether multiple vendors will be sharing power

Do not assume one outdoor outlet will support the entire event.

6. Plan Delivery and Pickup Times

Make sure the venue allows enough time for delivery, setup, breakdown, and pickup.

  • When the property becomes accessible

  • When guests arrive

  • When vendors may begin setup

  • Whether equipment can remain overnight

  • When everything must be removed

A detailed schedule helps prevent rushed setups and conflicts with other vendors.

7. Send the Right Information With Your Quote Request

  • Event date

  • Event location

  • Estimated guest count

  • Type of event

  • Equipment you are considering

  • Surface type

  • Setup and pickup requirements

  • Weather concerns

  • Venue restrictions
